Subject: Microsoft Offer to Host the April 2008 JTC 1/SC 2 Plenary and SC 2/WG 2 Meeting in Redmond Washington

From:

Jeanne Sheldon, Corporate Vice President, Microsoft Office Authoring Applications

Dear Mrs. Garner:

The Microsoft Office product development organization would be pleased to host the next JTC1/SC2 Plenary meeting and JTC1/SC2/WG2 meeting in Redmond, WA in April 21st – 25th 2008 and to offer the following provisions:

Meeting Rooms

Microsoft Office will reserve one large meeting room for up to 40 delegates. Ad-hoc session rooms can be arranged if the need arises.

Clerical support and Copying

The Microsoft Office team will provide clerical support as well as access to a printing & copying facility. Participants will be able to use their laptop computers during the meeting. Wireless Internet access will also be available.

Catering Service

Morning and afternoon coffee and refreshments will be available free of charge. Microsoft may also provide additional catering service for the meeting (not yet finalized). In all cases, lunches and snacks will be available for a modest fee through a corporate campus cafeteria near the meeting room.

Hotel Accommodations

Microsoft will provide a list of hotels in Bellevue and Redmond close to the meeting facility. The Microsoft Redmond facility can easily be reached either by private transportation or by bus from the Bellevue or Redmond downtown areas (15 minute ride). Maps from the airport to Bellevue and to Redmond will be provided to the SC2 secretariat for posting. Staying in Seattle proper is also an option for participants, but we don’t particularly recommend it, due to heavy commute traffic between Seattle and Redmond.

Under no circumstances will INCITS, the JTC1 TAG or ANSI incur any expenses for hosting this meeting.

Sincerely,
